Cerner Reporting – What Do we Do? • Introduction • Pull real time clinical data • Copies Cerner database into Banner's data warehouse

DA2 vs Reporting Portal

What's the difference? • DA2, short for Discern Analytics 2 – is a program where users can create, modify, Run, Preview Queries, Reports, Data Cubes, and Interactive reports

• “Native” DA2 reports • CCL-based DA2 reports

• Discern Reporting portal - is a user-friendly interface for users only running reports and generally accessed via the organizer bar in PowerChart application. DA2 reports can also be viewed and run out of Reporting Portal

DA2 vs – Reporting Portal

What do we do with DA2? • Publish custom CCL reports for use with the reporting portal.

• Organize reports in a file hierarchy based on usage, facility, department, etc. • IT USE ONLY – these are only available to “DBA” Users in the System • Explorer Menu – these are built for end users to run as needed

• Set up schedules to run CCL reports automatically.

Cerner Reports – If there is an issue

• When there is an issue with a Cerner report, it is helpful to know a few key elements • Report Name • Script Name • Examples of data that should be on the report (patient encounters, orders, etc) • Screenshots of any errors A screenshot from the reporting portal can get a lot of helpful information • CRMPerform Errors – Data set is too large, or time frame is too great

1. Report Name – The name of the report 2. Report Path – The path of the report as it is setup in DA2 3. Reporting Application – The application used in the creation of the report (i.e., CCL, DA2). • Useful to determine if the report was created in DA2 or is a CCL report 4. Alternate Name – Usually populated with the name of the CCL script program that runs the report. • Useful to determine if the report is custom or Cerner standard • 1BH_ will likely be a custom CCL report. However, there are some reports with a different naming convention that can be custom.

Change Requests

• As the Reporting team act as a “Solution Partner”, the applicable IT team should be part of the conversation before new reports or modifications are made • New Report Requests • Need to go through CRD per the governance process • Is there a Cerner standard report that can accomplish this? • Is there an existing report that comes close to what the ask is? • Does the data live elsewhere in Cerner in an easily readable way? • Reporting modifications • Likely needs to go through governance • Removing fields is typically not necessary • Adding data/fields – specific solution team should agree to update • **All report requests with Lab data need to go through the Lab/LSA teams for approval**

PowerInsight - Overview

• Power Insight is a third-party (SAP) reporting tool that accesses the Cerner data tables to pull Cerner data into reports.

• This type of setup alleviates the work-load on the production environment system when reports are needed.

• Typically, the reports are Larger Data Reports- depending on the report request - this may or may not be related to timeframe, data type, or volume.

• The emailed reports typically are in Excel format, with a distinct header row. Note- this Header row can be manipulated, but typically is left as default.

• Pen Location- Farse Unit Room Person Name- Full FIN LOS Calc

• Once the report is created and verified - these reports can be scheduled to be emailed out to BANNER individuals, groups of individuals, or email groups (security allowing) at desired intervals (daily, weekly, monthly, etc.).

PowerInsight - Continued

• Report writer or Report Run Access needs to be requested via a RITM. Access is given via Windows AD group and the program is accessed via the Citrix store front- using Internet Explorer.

• Access should only be requested for individuals with report writing experience, including SQL and CCL. They should also have a “deep” familiarity with the Cerner data tables as well as the Cerner data they are pulling.

• If this skill set is unavailable, meaning they do not have this experience reports can be requested to be built via RITM and emailed out once the reports have been verified by someone with knowledge of the data being pulled.

• The RITM for the report should be as specific as possible- Listing the “headers” needed. These headers will identify the desired data to be on the report- for example: Patient name, Financial Number, Facility.

• Once the report has been created and verified it can be emailed out to the identified individuals.

Power Insight - Troubleshooting

• The Power Insight system is remote hosted by Cerner and is continuously monitored by the CernerWorks team. • The IT Clinical Reporting also monitors performance and logs service request tickets with Cerner when needed. • If assistance is needed with a report- a RITM should be created and sent to the IT Clinical Reporting Team. • The RITM should contain the report name as well as the issue to be reviewed. • Missing Data – if the report is missing data- please provide a Cerner screen shot of the missing data.

• Too much data- please indicate which records on the report are not needed. • Modification of existing report- please indicate what changes are desired.

• Creation of a new report- Please reference a “Like - report” name if one exists. If there is no “like - report” - please indicate what needs to be on the report and provide Cerner screen shots where applicable.

Smart Templates/UDTs

• Smart Templates allow users to quickly insert data from other areas of a patient's chart into their clinical notes.

• Inserting a smart template into a note will display data as it currently exists in their chart. Updating the patient's data and refreshing the chart will not update the smart template. However, removing the text the template generated and re-adding the template will refresh the data.

• Smart templates are added to Cerner in three different ways (not usually an easy way to determine from an end user perspective) 1. Cerner Standard template – comes in via package 2. The Smart Template Wizard in the Bedrock tool – Soni, Clinical/Provider Documentation 3. Custom created CCL program – Cerner Reporting Team

Cerner Standard Smart Templates • Smart templates created by Cerner and taken by packages • Are not modified by the Cerner reporting team Cerner Bedrock Wizard Smart Templates • Created by the Clinical/Provider Documentation team through the bedrock tool. • Are not modified by the Cerner reporting team 1. A smart template created by a Cerner build tool. 2. Not using customized CCL coding. Custom CCL Smart Templates • Are smart templates created by the Cerner Reporting Team 1. Will have a 1bh_st_ or 1bh_stemplt naming convention. 2. Requested if the smart template wizard does not add advanced functionality to pull the results needed.

Smart Templates/UDTs

• UDT – Short for user defined token are custom data tokens used in the depart process.

• Like smart templates UDT’s display data as it currently exists in their chart. Updating the patient's data and refreshing the chart will not update the UDT. However, closing out of the depart without saving, and opening the depart back up will refresh any new data in the depart

• UDT’s are generally added to Cerner on a custom level. However, there are predefined tokens that can be used that are created by Cerner 1. Predefined depart tokens – Added by Cerner and taken by package 2. UDT’s – Built by the Cerner reporting team and added to a depart template by the clinical documents team.

Cerner Standard tokens • UDT’s created by Cerner and taken by packages • Are not modified by the Cerner reporting team • More info on defined tokens can be found here under available tokens User Defined Tokens • Are data tokens created by the Cerner Reporting Team 1. Will have a 1bh_ naming convention with udt in the name (ex. 1bh_css_risk_udt) 2. Requested for advanced functionality if a Cerner standard token is unable to acquire the needed data

• Additional teams that manage data in Banner

• Core Environments: over-arching database issues, server processing issues • CDS and Mpages: Discern Rules and Mpages both have the ability to handle custom code

• XR - Clinical Reporting – owned by the HIM team • Financial Reporting (MS4) – separate reporting team

• EDW - Enterprise Data Warehouse - Centralized Banner Database • The EDW hosts data from several sources, including Cerner Millennium • Data is copied nightly from Millennium to the EDW – not all Cerner data is copied over each night, but a vast majority is available • Digital Business Team - Power BI Team business needs • Centralized Analytics

How can CSA group help us most? How can we help them?

• Is it an existing report? What is the issue or request? • Provide script or report name if possible

• Once preliminary info is gathered, log RITM/INC - explain differences/scenarios • If we don’t know the tables/fields where the data lives, SCREENSHOTS of where the data is documented within patient charts are very helpful!
